Best webinar software for small business: the shortlist of seven options
A small business usually needs one of four webinar jobs: a live session, an automated or evergreen one, a paid workshop or a product demo. Seven tools state how they handle those jobs on their own pages. EasyWebinar is listed first because this site links to it, so read its place with that in mind. Everything was read on October 23, 2026, and dollar amounts are left to each live pricing page.
- EasyWebinar: live, simulive, evergreen and paid webinars in one account. Automation, checkout and the CRM start on Growth. Plans are flat with overage past attendee limits. The 7-day trial needs a card.
- WebinarJam: live-first, with four plans capped at 100, 500, 2,000 or 5,000 attendees. Evergreen runs in the companion EverWebinar, included from Basic. The trial card shows a small fee for 14 days, though the page headline says free, and a 30-day money-back guarantee is stated.
- EverWebinar: automated, hybrid and just-in-time webinars, with every feature in one plan. Billing is monthly, annual or every two years. The 14-day trial carries a small fee, and a 30-day money-back guarantee is stated.
- Zoom Webinars: Webinars and Webinars Plus plans priced per user. The plans listed cover webinars up to 500 attendees, and Zoom's FAQ says its webinars can support up to 100,000. Pre-recording to run like live is described on the Plus plan.
- WebinarNinja: one plan priced by attendee count, with unlimited webinars, automated and hybrid webinars, and paid registrations through Stripe. The trial is 14 days and free.
- Livestorm: attendee credits bought as a yearly pack, one credit per unique person per session, with automated and on-demand webinars. Its free sign-up says no credit card is needed.
- Demio: a Starter plan with a 50-person room, and Growth and Premium plans with rooms from 150 to 3,000, priced per host. Pre-recorded and automated webinars are listed.
Criteria that separate the options: job, attendee counting and fee model
Run each tool against your largest expected session, not an average one.
- Job: live only, evergreen, paid or demo. A tool that puts automation in a separate product or a higher plan changes the real cost of an evergreen funnel.
- Attendee counting: a per-session cap (EasyWebinar, WebinarJam, Demio), attendee credits (Livestorm), a per-attendee plan (WebinarNinja) or a per-user plan sold by attendee size (Zoom).
- What happens at the limit: EasyWebinar bills overage, WebinarJam points to the next plan level, and Livestorm says new attendees cannot join once the credit quota is reached.
- Trial and refund: card or no card, small fee or free, refund window or none.
How the seven compare on automation and fee model
All seven state some form of automated or pre-recorded webinar. The difference is where it sits. EasyWebinar gates it behind Growth, WebinarJam moves it to EverWebinar, EverWebinar is built around it, Zoom lists it on Webinars Plus, and WebinarNinja, Livestorm and Demio list it among their features.
Fee models split three ways. EasyWebinar, WebinarJam and EverWebinar sell flat plans, though EverWebinar offers one plan on three billing cycles. WebinarNinja and Livestorm tie cost to attendance. Zoom prices by user, and Demio by host. A seller whose audience swings widely should compare the cost at the smallest and largest expected session.
Trade-offs and which option fits which seller
Every option gives something up. EasyWebinar's trial needs a card and its fees are non-refundable. Livestorm stops new attendees at the credit quota. Demio's Starter plan is limited to one host and a 50-person room.
- A coach selling one program from a recurring evergreen webinar: EasyWebinar from Growth, EverWebinar or WebinarNinja fit the job on paper, so compare how each counts attendees.
- A small team already working in Zoom that needs a branded room: Zoom Webinars, with pre-recorded sessions on the Plus plan.
- Several hosts running events at once: Demio's per-host pricing and WebinarJam's host counts both matter, so check each against your team.
- Audiences that swing between 50 and 3,000: a credit pack (Livestorm) or a per-attendee plan (WebinarNinja) follows attendance, while a flat plan with overage follows the plan cap.
Switching later: what travels and what to ask
A recording is the portable asset. EasyWebinar's evergreen page says you can upload an MP4 from Zoom or any other tool, and WebinarJam says you convert a live recording into an automated session in EverWebinar. Registrant lists, reminder sequences and checkout settings are different, and the pages read for this guide do not describe moving them, so ask each vendor before you commit.
